mailbox relaunch: New suite, new design, new features

mailbox.org Support shared this idea 28 days ago
In Progress

Dear community,

The time has come – the major mailbox relaunch is here! What was once mailbox.org is now simply "mailbox". Behind this rebrand lies a completely redesigned mailbox Suite that brings together email, calendar, contacts, office, video conferencing and drive in an intuitive package with a fresh new look.

What's new:

After an intensive development and testing phase, we're presenting you with a completely revamped user interface featuring numerous technical and visual improvements. Here are the highlights:

  • Intuitive operation
  • Progressive web app (PWA) for mobile working without app installation
  • "Undo send" function for emails
  • Email categories for better organisation
  • Direct integration of video conferencing into calendar appointments
  • Meeting countdown and improved team coordination
  • Enhanced dark mode for easier on the eyes

New design, unchanged promise:

Alongside the technical developments, we've also given our brand identity a complete makeover. A modern logo, fresh colours and a fully redesigned, accessible website shape our new appearance.

Our core values of security, data protection and European digital sovereignty remain at the heart of everything we do. These form the foundation for the trust and expertise we represent – today and in the future.

What changes for our customers:

The transition to the new mailbox Suite will roll out to our existing customers step by step over the coming weeks. We're taking particular care to ensure you can continue your familiar workflows seamlessly throughout this entire period.

The updates in detail

You can find all the details about the relaunch in our comprehensive news article: https://mailbox.org/en/news/mailbox-becomes-the-digitally-sovereign-workplace/

Questions about the relaunch? Please feel free to use this thread – we'll answer all questions transparently for the entire community.

Hello,

I have joined Mailbox over other providers due to being able to use the web app on my iphone 7 plus, OS 15.8.4.

You are the only provider I found that actually works on my phone browser, Firefox Chrome or Safari. None of the other providers work.

i hope with the new version it will still work the same. It is one of my core reasons of use. If not, i hope there is a possibility for me to continue using the current version which I am very satisfied with.

Thanks,

B

Just a general PSA for anyone coming here wondering about this:

Firefox on Android does not yet have PWA support but it is being included in an upcoming update.

photo
photo

My browser on the Smartphone does not prompt me to install the Progressive Web App. Can I trigger this manually in the web UI?

photo
1

Thanks for doing this! When I access my mailbox in iOS Firefox and then share the page with “add to homescreen” to create the PWA app on my home screen, it just creates a regular bookmark/link. It doesn’t act as a PWA. It continues to open regularly in my default browser (Firefox), showing the address bar and everything.

Furthermore, even if I’m logged into mailbox in another Firefox tab, the link I’ve created on my homescreen takes me to the sign in page again every time.

photo
1

I believe that only Chrome based browsers (Google Chrome, Brave, DuckDuckGo, etc) work with mailbox's Progressive Web App at this time. After logging into mailbox on mobile, using Firefox, then menu > scroll to bottom > Install mailbox Suite like an app, I get a "your browser is not supported" message. However, it will work using a mobile browser like Brave. Would be nice to see PWA functionality for Firefox mobile. I'm not sure if the current limitation is coming from Mozilla, or from mailbox, or some combination of the two.

photo
1

Safari does too on macOS iOS and iPadOS.

photo
1

Okay I just re-tested Firefox and also tested Brave, Safari, and Orion on the latest version of iOS.

Firefox and Brave do not create a PWA. They just create regular links. But Safari and Orion both can create the mailbox PWA by sharing and tapping “Add to Homescreen.”

This is interesting because Mozilla documentation says that PWAs work in iOS Firefox, which makes me wonder if there is something funky with the way the PWA was implemented. Source: https://developer.mozilla.org/en-US/docs/Web/Progressive_web_apps/Guides/Making_PWAs_installable

Firefox is introducing PWA support in an upcoming version, at some point in the next couple months I would think.

Hello, the relaunch looks great - many thanks!

Will this by any chance make it possible to sync recurring tasks with any kind of privacy-respecting smartphone app on an Android-type OS? Or can I fully replace a third-party task app with the Progressive Web App on my phone and still have some reasonable functionality (e.g., running in background, not having to log in every time I unlock my phone)?

Cheers,

Stefan

photo

I already used the following apps (the interaction is non-standard in that app though) for tasks via the WebDAV interface that was already present previously:

photo
1

Many thanks Martin. I liked JTX Board, which I was using with DavX5, except the recurring tasks didn't seem to sync at all. Has that been fixed?

Cheers,

Stefan

Disagree. The new look is TERRIBLE.

Can't even read my email now, and I'm actively avoiding it. Will be migrating to new service soon if they don't give us an option to turn it back.

I like what I'm seeing so far, but that name change is puzzling.

No capitalization, and no .org makes it completely unidentifiable as an entity.

How am I supposed to recommend mailbox to others? It's a very general noun, and in this case doesn't set it apart in anyway from its competitors. I will have to add .org anyway so they can understand what I'm even saying, so why drop it?

If you wanted to drop the .org, that's strange, but fine. You should have then capitalized Mailbox so it looks distinct. Not capitalizing your name as a proper noun isn't setting you apart, it's making your name invisible.

Hell, it's increasingly and frustratingly common for people, especially young people, to completely ignore capitalization in online communication. Your brand gets lost entirely in a paragraph like that.

It's terrible search engine optimization as well. How is Google supposed to interpret that query? Why would it assume the user means "mailbox" the email service and not "mailbox" the general noun?

photo

Dear Mailbox.org, does your redesign include finally fixing this problem?

https://userforum-en.mailbox.org/topic/2681-session-times-out-two-times-a-day

Do the staff and management at Mailbox comprehend how painful it is to have to login to your web mail interface multiple times a day even if the browser window is left open because the session times out so quickly? (Yes, I have already configured my account for maximum session length.) By the reactions in that thread, which should be flagged as a problem, not an "idea", I'm not the only one experiencing this problem.

My recommendation to Mailbox is that they try "eating their own dog food". That is an expression which means that staff should have to use their own products so they can experience what their customers experience. For example, the management at Deutsche Bahn should have to travel by train instead of by car. I encourage Mailbox to experience the pain of being forced to login to their email web interface multiple times a day because of a technical fault in the service which Mailbox acknowledges exists.

Does the relaunch include a fix to this problem?

photo
2

You bring up a really good question. Do they even use their own product?

Guess they don't mind having to log in multiple times a day.

And I'm not sure if it is a technical fault. It might just be a case of "we know what's best".

photo
1

Completely agree with user 6491012! Also, I can't find anywhere to configure my account for timeout period. There is nothing about that in "advanced settings".

I don't look forward to having to change email providers due to all the recent changes which suddenly cut the functionality of mailbox.org email right down. But maybe I will have to!

How do I add an email alias now? The "All Settings" dialog doesn't look like the picture in the knowledge-base instructions any more.

I tried All Settings → Accounts → Your Accounts → <accountname> ("E-Mail" for me) → Edit because it showed my aliases alongside the account. But there is no list of aliases I can add to or remove from.

I tried All Settings → Mail → Email aliases, but it only allowed me to pick one of my existing aliases as the default sender address.

photo
2

Its Settings > All settings > Email adresses > Email aliases > Add new alias.

Weird. I can see that now. Question answered, thanks!

Maybe it just didn't load for me the first time around. I'm sure I had just All Settings (from either the "cog menu" or the "three lines" menu) → Settings (name of dialog) → Mail available to me before. I can now see many more options in the Settings dialog's sidebar, including the one in your picture.

Hello,

I do not use any of your online apps. I only use your email service through Mozilla Thunderbird on my PC. Will my email change?

Thank you.

Hi, well done on the new look. I like it so far. One minor comment: can you make text inside the portal widgets left aligned? The Inbox widget looks a bit odd with the emails be centre aligned.

Feature request:I would like it if I could have a favourites app where I can "pin" specific emails or files to the Portal.

photo

how to get back to old layout?

photo
7

I noticed that the URL to the new webmail interface is

https://app.mailbox.org/appsuite/#!!&app=io.ox/mail

But you can for now still access the old webmail interface here

https://office-sso.mailbox.org/appsuite/#!!&app=io.ox/mail

Mailbox.org, please don't shut down the old webmail interface! The new one seems more like an alpha release.

photo
6

Wow!, thanks a lot Bro :-)

This new layaut is a dwongrade and toatal failure

photo
7

Thank you so much for posting this.
Yes please keep the old interface accessible Mailbox, the new version is unusable. I can't read anything on my calendar, the writing is white on new pale pastel colours which I can't see. There used to be many colour options to make calendars from, now it is all unreadable with only about 3 possible pastel colour options. The inbox is horrible, I can't find things I used to be able to do. My starred emails are gone and the flag colours are all changed. Can't understand why Mailbox would want to force users to have to learn so many new placements and have to go through changing every thing so it is readable again - I haven't got time for this. The old design was brilliant - simple and easy to understand, please at least keep this as an option available forever.

photo
4

@CAT you nailed it!

photo
4

The colour options and themes are really unusable!

The original/old interface has 26 solid colours (39 in total) with very good readability for the calendar:

fb5100c80dee39a7b791b41d6dc73b52

and for appointments: 32f2e494c053a1c9fc3bcbc961b84610

Ten solid colours for emails:

a9f9ec33b9dce651f207a356f2f5c913

All the colours have been changed in the new interface to a few pale pastels that don't give enough contrast for reading or can't be read at all. Who came up with the brilliant idea of using a white font on a light pastel colour?

One can't even quickly tell the difference between emails that have been read and those that have not.

It is absolutely essential to keep the old interface.

Thank you Rafael and 6491012 !!

You guys saved me. Who knows how long this link will work but I'm reposting it here again for myself.

YES ~ Please give me access to the old format. This is SO not ready.

I did not sign up to beta test your product. Why am I reinventing the wheel just to use the Web interface to do these simple things: LOG IN; View an attachment without getting kicked out.

I do not want to spend tedious time reviewing all of the posts here just to have basic (PAID) email functionality.

photo
2

I agree, what a waste of time with the "new release". Everything was great before, and 1 lost customer is far worse than the potential 10 customers it can bring. Guess Mailbox doesn't know the rules of business!!

photo
photo
7

In the old webmail interface you could flag a message by clicking on a little star icon ★. This function has been removed in the new webmail interface. All the flags that I had set on my messages are now invisible in the new interface. Now you can only set a color per message, which is something different. Can you please restore the important function to flag messages? Here's how it looked. Are all my message flags now totally lost?

5cf4af0c2182c6aa44d80c7435da6de5

photo
3

Exactly! Also I found a way to add "Starred" as a category, but you CANNOT remove/delete the forced categories like Important, Business, etc. which is super annoying.

Really hope Mailbox fixes this or they will be losing a ton of customers!!

For everyone following the thread, this is what Mailbox support wrote back.

It doesn't look like they care, which is a huge bummer because I WILL NOT be using their service any more, if they can't bring back the stars.

Hello there,

thank you for contacting us.

We have already forwarded this as a feature request to our product manager. He can then decide whether we include the feature. Since this can be a lengthy and complex process, I can't keep you updated on the development.

Therefore, I am closing the ticket. However, if you have any other suggestions or questions, please write to us.

Hi Ky,

thank you for your comment. Of course we care about the feedback of our customers, and we are very thankful for your criticism. The response of our support is completely in line with our internal processes. Your wish has been sent as a feature request to our product management. The product management then has to decide if the requested changes will be implemented or not. Since we receive a lot of feature requests, and the review process takes some time it is not possible to keep updates in the tickets on the decisions regarding the requests or the progress.

With kind regards
your mailbox team

Dear Mailbox.org Support,

You wrote "Your wish has been sent as a feature request" but it's not a "feature request" but rather a bug. Fortunately it's an easy bug to fix. According to the Open-Xchange documentation it's a configuration setting. You don't need to do any reprogramming. Just conform your configuration. When you installed Open-Xchange version 8 you disabled an important feature that you had enabled in version 7. Was that a decision of "product management" or an oversight? Here's the server setting that you need to correct so that the flagging feature is restored.

https://documentation.open-xchange.com/7.10.6/middleware/mail/mail_flagging.html

Why the tedious "kundenfeindlich" internal bureaucracy to simply restore a valued feature that you had enabled for us in version 7 but disabled in version 8? It's just a switch in a configuration file.

I imagine their concern is that the new UI has no corresponding element to convey it. They can turn that on, but they can't reflect it in the new UI right away.

Though that absolutely should have been taken into account earlier.

Thanks for your hard work on getting this update rolled out. 😀 I'd like to see the portal get some much needed attention sometime soon.

Feature Request: Improve the Portal
MY LATEST FILES

  • The problems - Using this widget currently requires at least 3 steps to begin editing a document. And once a document is opened for editing, it sometimes incorrectly states "you do not have permission to edit this document". Only a refresh fixes this.
  • The solution - Give customers the ability to click a recent document from the widget and have it immediately open in a new tab, ready for editing (no refresh required) if they so desire.

MY TASKS

  • The problems - This widget cuts off task names with lengthy due date descriptions to the right. And it only shows tasks with upcoming due dates.
  • The solutions - Give customers to ability to customize which task list they'd like to appear on this widget. Move the due dates to a row below in smaller font so that the full task name is shown. Allow customers more control over how sorting of their tasks in the widget is handled so they can customize it to their own use case.

INBOX

  • The problem - This widget only supports recent emails from the primary inbox folder.
  • The solution - When adding this widget, let customers choose which email folder they want displayed.

STORAGE

  • The problem - Wasted screen real estate.
  • The solutions - Show the largest files and emails taking up the most space in the widget. Provide links to tips on how to free up storage and upgrade storage for customers who need help with this.

* Some of the available widgets not mentioned here feel gimmicky, redundant, or like clutter to me, although others may find value in them.

I have 2fa on and now I can't login using activeSync on any Android client. Before, while I also had 2fa, I could just login using my password.

photo
1

You can add an unique E-Mail or App-Passwort for these apps in your Mailbox.org account.
After that, it working again for me.

photo
2

That only works for email, not calendar, tasks and contacts. ActiveSync provides access to all features.

photo
photo
2

I finally figured it out. It's a real hassle (using calDav) . I think people will go to Proton when they find out before they buy a subscription.

It's a shame activeSync is no longer supported in combination with 2fa

photo
2

The PWA look very good! Problem I have with it is that is does not stay logged in. I have to log in every time, also it does not give me notification of E-mail or calendar. Would be great to have a more native-app experience for both mail and calendar so I can move away from Thunderbird and Etar on my Android phone.

photo
3

Not only is this "new" interface ABSOLUTE trash, all of my emails in my inbox have disappeared once it forced me to re-login. What the actual f*** are you guys doing?

I hate when companies try and fix or "rebrand" what isn't broken and screw up people trying to get actual work done. Fair warning to everyone else. I've contacted support and hopefully they can rectify this. Probably one of the worst roll-outs I've ever seen.

photo
2

Their support tickets basically reply with "We'll forward this to the team, and we cannot update you with the progress."

Maybe they're posturing to get bought out. Who knows...

photo
1

Ky Xia, I wonder if Mailbox.org employs only a minimal programming staff and simply opens a ticket at open-xchange.com for any software-related issue that we raise at Mailbox.org and waits for them to fix it, if ever. That would explain a lot, also why we're being forced to switch to this awful new Open-Xchange OX App Suite version 8 because like Windows 11 and 10, Open-Xchange is probably going to end support for version 7.

photo
photo
2

I just wanted to say that I really like and appreciate the new design and have been encountering none of the issues reported in other comments in this thread.

photo
2

I'm also a huge fan of the visual overhaul - it feels long overdue and hopefully marks the beginning a great things. The new co-CEO appears to know how to scale and apply systems thinking so I'm cautiously optimistic about the future of mailbox.

photo
2

Funny a lot of us HATE the new design.

Why are we being forced onto something so ugly?

photo
photo
2

I overall don't mind the new design, but there are two things I noticed about it:

1) The color contrasts are too weak, IMHO. Right now the only element that has enough contrast to its environment is the 'new email' button. I'd like the inbox to show the selected email in a more contrasting tint. No theme can fix that, at the moment.

2) There's waste of space. The row of icons above the text 'Inbox [amount] messages' can be placed to the right side of it, reclaiming a lot of space for better use like being able to read more lines from your selected message. It also just feels more efficient (doesn't everybody like to feel efficient?).

3) One last thing that may not be technically possible, is about the default lime green log-in page color theme. It would be great if the theme you chose for your logged-in environment would also extend to the log-in page (maybe through a cookie or something). Lime green is a more divisive color than the dark blue from earlier.

Thanks for reading!

Does the update mean that we will be able to share tasks? This workaround is no longer working: https://userforum-en.mailbox.org/topic/1450-sharing-tasks-over-dav-workaround

photo
2

I went ahead and made a mock-up that provides more efficient screen usage.

You can see it online here: https://ibb.co/zTMmCHGW

Top image: the situation as it is now

Middle image: the situation with re-arranged elements

Bottom image: the end result (removed remaining screen waste)

photo

Previously the polls app was named Framadate, which I understand was confusing. However, it would be great if inside the first page of the app in the new design you could add a link to https://framadate.org or https://framagit.org/framasoft/framadate/framadate, and still credit the Framasoft community and the fact it is licensed under CeCILL-B, since I believe it still uses their software. It's good manners, but also the CeCILL-B license contains this clause:

Any Licensee who may distribute a Modified Software hereby expressly agrees to:

1. indicate in the related documentation that it is based on the Software licensed hereunder, and reproduce the intellectual property notice for the Software,

2. ensure that written indications of the Software intended use, intellectual property notice and license hereunder are included in easily accessible format from the Modified Software interface,

3. mention, on a freely accessible website describing the Modified Software, at least throughout the distribution term thereof, that it is based on the Software licensed hereunder, and reproduce the Software intellectual property notice,

4. where it is distributed to a third party that may distribute a Modified Software without having to make its source code available, make its best efforts to ensure that said third party agrees to comply with the obligations set forth in this Article .

The same is true for your XMPP Webchat, which I believe uses Converse.js, which is licensed MPL-2.0: https://conversejs.org/ or https://github.com/conversejs/converse.js

I get that you likely are in a contract with Open-XChange which involves not having to credit them, but assume the apps mentioned above you are using free of charge so should definitely credit.

I also know it's never possible to credit all open source projects you use, e.g. in libraries and in the backend. I get that this may be annoying for developers of less-visible free software projects that you can't clearly credit because they don't have their own interface - a separate page (if you don't already have it) with names and licenses in settings / your blog would be nice and probably required by the licenses, with links to it from the more prominent credits of Framadate and converse.js. You could participate in FSFE's https://ilovefs.org next February, perhaps...

Generally, I love your commitment to incorporating free and open source software and protocols, for interoperability, privacy and its many other benefits. Keep up the good work!

photo

Request: Please make the contrast between read and unread emails more distinguishable. The unread emails in the list should have a slightly larger font and be MORE DARKER bold. Yes, the bullet dot in front of an unread email is there, but we should not be going from left to right each time to check.......any unread emails should popup straight away through good contrast like you see at Fastmail or Runbox.

photo
3

I totally agree with that !!

photo
2

They have completely ruined everything awesome about Mailbox.org. Literally, they cannot bring back the STARS. Like, the simplest marking function in all email systems. 🤣

Probably posturing for a sale.

I'm already looking at Tuta, Hey.com and other options.

photo
2

FYI - I have had a free tutanota email for several years and their spam/phishing is terrible. I constantly mark and flag messages as spam or phishing and even weeks later the same accounts still send the same spam/phishing emails and they continue to show up in my inbox instead of the spam folder.

The fact that the issue has persisted for years has kept me from ever converting to a paid account with tutanota. Which they also rebranded to now only be called tuta

Hopefully Mailbox.org will get things sorted soon as this is my main email account and was the best I tested years ago and I don't want to switch again.

photo
photo
4

Some feedback after a couple of days of use

- As already mentioned, there is almost no contrast between read and unread emails.
- Menu on the left is much larger than before. Now I have to scroll to see all my folders, it would be useful to be able to make it smaller.
- Categories are a great new feature, but without implementation in the rules, they lose all their potential.

photo
3

This has been a rough rollout for sure. The new app suite was clearly not tested enough to be ready for prime time. So many people shouting into the wind. I suspect the beta testing group was closed early due to the influx of support tickets - and now they're dealing with a whole new round. Support responses for me, on average, are taking over a week, sometimes longer. Sometimes helpful depending on who responds. Sometimes not.

photo
1

Hi, I really like the new design 👍. I would also appreciate having categories implemented in the rules.
However, I’ve run into one issue: the colored flags created in the old interface cannot be removed. I clear the flag, but it immediately reappears on the email.
Has anyone else experienced this problem?

photo
1

Hi, the new design is nice, but there are still translation problems in the setting page. According to the chosen language (french in my case), some parts are still in german (payements for example) or translated in english.

photo
2

I wonder if the web login will finally stop logging us out all the time, and having loading errors, and timeout pop ups that require us to clear all cookies and cache and re-login all the time. Been like that for all 6 years Ive been with Mailbox, always have to re-log in daily or every few hours sometimes.

photo

almost all article links in settings are broken

Hi Dean,

thank you very much for your feedback. We will look into the matter and correct the links!

This is just VIBE CODED sugar coated garbage, no substances nothing work under neath, in settings most thing is broken.
In its ordinary fashion Mailbox ham-fisted it to all user. Its NOT TESTED in any way or form, few minutes would discover how bad this is.
For now you can still access old interface. Its still bad but it works and will allow you do what you need.
